What does a pilgrim file contain in OmraDesk?

Identity and passport (with an expiry date check), filed documents (passport, photo, supporting documents), companions from the same family, the package and the room type, payments with the schedule and the amount outstanding, the visa route and its status, and the history of every action. The file is created from the lead at the time of sale and follows the pilgrim through to the return.

How do you manage a family travelling together?

Travellers from the same family are grouped on one shared file, each with their own record (identity, passport, documents). The link between them is then used for rooming — the family is placed together — and for visa procedures, when a companion has to be declared. Payments can be tracked for the family as a whole or per person.

Are documents kept indefinitely?

No. Passport copies are deleted automatically six months after the pilgrim's return, and shared documents are served through links that expire after a few minutes. Each agency is isolated in its own space, access rights depend on the user's role, and every consultation of a sensitive document is logged.

How do you know what is missing from a file?

Each file shows what remains to be done: passport missing or expiring, photo absent, deposit overdue, visa pending. The list of files for a departure can be filtered on these gaps, and the adviser receives an alert before the deadlines rather than after. Reminders to the pilgrim are sent from the file, by WhatsApp or by email.

Can a pilgrim view their own file?

Yes. Each pilgrim receives a private link to their own space: there they can see the state of their file, the documents still expected and their payments, and they can send the missing items themselves. The agency keeps control of validation: nothing enters the file until an adviser has accepted it.
