A single file for every pilgrim

Full identity and passport (number, issue and expiry dates, issuing country, type), nationality and residence address, emergency contact, package and departure, room sold and room requested, role (pilgrim or companion), the file's documents with their state, payments and instalments, the visa and its status, hotel nights and the room assigned. The pilgrim is unique in the database: their successive files share one record.

Yes. When a photo or scan of the passport is uploaded, OmraDesk reads the MRZ strip and the identity page: surname, given names, number, dates, nationality, sex. The file's fields are pre-filled, discrepancies with what you had typed are flagged, and an Arabic transliteration is suggested where useful. The ID photo can be extracted from the passport to prepare the visa application. The same mechanism creates files in bulk from a batch of passports.

Each person has their own file — visas and hotels require it — but the files are grouped in a family group with a group leader. The group allows a single payment split across each file, a share code so members sign up into the same group from the website, and the guarantee of being placed together when the rooming list is built. Family ties and the mahram are recorded for the checks that depend on them.

Yes, at two levels. On each file, the list of expected documents shows what is missing, received and validated. On a departure's pilgrim list, an indicator counts incomplete files and lets you filter them to send a group reminder. Blocking rules — passport valid long enough, mandatory documents validated, minimum deposit received — prevent an incomplete file from being validated, unless an override is recorded.

The file moves through successive states: draft or option, submitted, under review, blocked if a rule fails, validated, then ticketing, rooming, ready, travelling, closed. Every transition is time-stamped with its author. The departure view shows how many files are at each stage and which ones are stuck; the file's "next step" panel says what remains to move on. You know where every pilgrim stands without reopening ten conversations.

Yes: CRM, finance, passport and notification lists are paginated, bulk actions (documents, reminders, rooming, visas) apply to a selection, and passport-scan import creates dozens of files at once. The file list is worked by departure and by filter rather than as one endless table. Large groups are organised into branches and teams, each with its own rights.
