BUYING GUIDE & COMPARISON
Spreadsheet, generic CRM, travel software or trade-specific software: this guide covers the features to require, the selection criteria and how to migrate without breaking what works. It is written by the OmraDesk team — we say where our tool fits, and what it does not do.
Agencies in the UK, France, Europe and the Maghreb
If the tool you are evaluating covers fewer than six of them, you will keep a spreadsheet on the side.
Identity, passport, documents, companions, payments and visa status in one place, with a history of who did what. Without it, the information lives in one adviser's head.
An Umrah trip created once (dates, hotels, flights, prices, rooms) must appear on your website, in your sign-up forms and in your sales follow-up without re-entry.
The number your customers know, shared by several advisers, every conversation attached to the right file. WhatsApp on a single phone is not an agency tool.
Deposits, schedules, balances and reminders before a payment is late — in several currencies if you sell in pounds or euros and buy in riyals.
Tourist e-visa for the e-visa list, Umrah visa through Nusuk or Masar for agencies that have access, or through OmraDesk as visa partner for the rest: the tool must reuse the file's data and bring the document back into it.
Blocked, sold and remaining rooms in Makkah and Madinah, with an alert before each release date. This is where margins are lost.
Allocation to double, triple and quad rooms, families kept together, men and women separated by your rules; export for the hotel and the airline.
Each agency isolated, permissions per job, hosting in Europe and a data processing agreement to sign.
A shared spreadsheet
Several versions circulate, payment history gets lost, nobody knows which file is right the day before departure. It reminds no one and knows nothing about your allotments.
A generic CRM
It tracks contacts and deals, not pilgrims: no passport, no companion, no room, no visa route. You complete it with a spreadsheet — and you are back where you started.
Classic travel software
Built for ticketing and on-demand hotel booking, it ignores negotiated allotments, rooming lists, the Ramadan and Shaban seasons and Umrah-specific visa procedures.
The most common situation in agencies today, compared with trade-specific Umrah software.
| Spreadsheet + personal WhatsApp | Umrah agency software | |
|---|---|---|
| Where a pilgrim's information lives | In three files and one phone | In one file, shared by the team |
| Entering the package | Retyped into the website, the flyer, the sheet | Entered once, published everywhere |
| Payment reminders | When someone remembers | Before each instalment, automatically |
| Visa | Re-entered on the portal, tracked elsewhere | Started and tracked from the file |
| Rooms | One tab per hotel, no release date | Stock tracked, alert before release, rooming generated |
| Who did what | Impossible to find out | History per file |
Because the trade has objects generic tools know nothing about: a departure with a capacity and rooms by type, a pilgrim whose passport validity decides the visa route, a mahram, a deposit then a balance due before departure, a rooming list to hand to the hotel, a visa circuit that depends on nationality. Purpose-built software knows these notions in advance: you do not rebuild them with custom fields, and every detail entered once serves every later step.
A classic CRM stops at the sale: lead, quote, follow-up, closed. OmraDesk starts where the CRM stops. The lead becomes a pilgrim file that keeps its history, the file joins a departure, the departure has its rooms, flights, visas and payments. OmraDesk has a CRM too, with WhatsApp built in, but it speaks in packages and available seats, not abstract opportunities. The continuity between selling and operating is the difference.
Yes, for everything that concerns tracking pilgrims, payments, rooms and departures. A spreadsheet remains excellent for a one-off simulation; it becomes dangerous the moment it is shared, duplicated and sent over messaging with passports inside. OmraDesk brings what a spreadsheet cannot: several people on the same data without competing versions, rights per user, a history of every change, and rules that stop an incomplete file from moving forward.
Passport reading (identity, number, dates), detection of missing documents and passports too close to expiry, payment schedules computed per file, the initial rooming list (families kept together, men and women separated), sending files to Nusuk and filling e-visa applications through a browser extension, visa status tracking, payment reminders, and the first replies to WhatsApp enquiries if you enable the assistant. What commits the agency — validating a file, paying a visa, sending to the consulate — stays a human decision.
That is exactly OmraDesk's scope: incoming enquiries and WhatsApp conversations, pilgrim files with their documents and payments, hotel allotments and the rooming list, Umrah visas, e-visas and Nusuk, up to departure preparation. The modules share one database: the room sold to the pilgrim is the one on the rooming list, the scanned passport is the one sent to Nusuk. You no longer reconcile tools that do not talk to each other.
The account is usable the same day: nothing to install, everything runs in the browser, and a demo followed by a free trial let you check the workflow on your own cases before committing. Data migration depends on what you have: contacts in a spreadsheet import in minutes, files are created by scanning passports. Only Nusuk and e-visa automation requires installing a free browser extension and pairing it with your account.
