How the rooming planner works

Enter your pilgrim list (name, gender, family group), the available room inventory (singles / doubles / triples / quads) and the tool proposes an allocation that respects three rules: families kept together, single-gender rooms (except spouses/mahram), and optimal inventory occupancy.

You can then fine-tune by drag & drop. A quality score (0-100) updates in real time and lists items to review: split families, partially empty rooms, mahram ratio issues. No account required, no data sent outside your browser.

Method and business rules

Priority 1 — Family cohesion: two people sharing the same family group must land in the same room as long as capacity allows. If a family exceeds the room capacity, the algorithm splits them into adjacent rooms.

Priority 2 — Single-gender: a room contains either only women or only men, unless it contains exclusively married adults (a couple) or a mahram with their children. This rule is standard among Mecca/Medina hotels.

Priority 3 — Occupancy: minimise partially empty rooms — a triple with 2 pilgrims still costs the full triple price. The algorithm prefers reconfiguring over leaving a bed empty.

Worked example: 32-pilgrim group

32 pilgrims: 4 full families (12 people), 8 couples (16), and 4 single women. Inventory: 4 quads, 4 triples, 4 doubles. The tool proposes: 4 quads for the families, 4 triples for 2 couples each (mixed-gender OK because married), 2 doubles for couples and 2 doubles for the 4 single women (2 per room). Quality score 95/100, remaining rooms: 2 empty doubles to negotiate with the hotel.

Limitations

The tool doesn't know your specific interpersonal preferences (“Mr X doesn't want to share with Mr Y”) — use drag & drop to adjust manually. It also doesn't handle special needs (elderly needing a ground floor, allergies): flag them in a separate note.

The technical limit is 50 pilgrims per session. Beyond that, split by floor or hotel and merge the outputs. No persistent save or direct PDF export yet — use browser print.

The tool doesn't sync with a hotel PMS. The output is a rooming plan you then send to your groupier or upload into your management system.

FAQ

How do I handle a couple with a young child?

Create a single family group for the 3 of them. The algorithm groups them in a triple (or quad if you add a cot). Mark the child as “OTHER” if under 4; otherwise use their actual gender.

Can I force a specific room for a VIP?

Yes: after auto-allocation, drag the VIP into a dedicated single. The quality score updates automatically — if it creates an empty bed elsewhere, the tool flags it.

Does it respect Umrah mahram rules?

Yes: a single woman is never placed with a non-mahram man. Family groups (father/daughter, siblings, spouses) count as mahram and can share a room based on the family group declaration.

Can I change room sizes after auto-allocation?

Adjust the inventory on the initial screen and re-run — the tool starts fresh. For a one-off adjustment, drag & drop directly in the result view.

Can I export the rooming for the hotel?

Yes, via browser print (Cmd/Ctrl+P) — you get a per-room list with name, gender and family group, suitable for the groupier. Direct PDF + Excel export in a later release.
